Discovery Call Required for First-Time Renters:

• The lead facilitator must join a 15 minutes discovery call before booking. We reserve the right to decline rental if the space does not resonate with your work. We treat The Portal as our home — a sacred space dedicated to supporting facilitators with integrity and intention.  BOOK HERE.

Communication Policy – Self-Service Rental:

The lead facilitator is our sole point of contact. We do not provide real-time live support during sessions. We rely on the facilitator to manage our home as if it were their own. This allows us to keep our rates affordable for facilitators who truly want to give back to the world.

We will not respond to participants, coordinators, or team members. Please brief your group before each session.

Noise Expectation:

The Portal is located in the heart of Sheung Wan — a vibrant, living city. While we respect building noise levels and expect renters to do the same, we do not guarantee a noise-free environment. External noise from neighboring units or building common areas is beyond our control. The lead facilitator acknowledges this and accepts that occasional external noise may occur. We recommend using the provided speaker to play soft background music or white noise to help create a peaceful container.

Terms & Conditions:

Damage Deposit

1. A refundable deposit of HK$2,000 is required.

2. Refunded within 14 business days after inspection.

3. Forfeited in part or full to cover damage, excessive mess, or breach of terms.

Rescheduling & Cancellation

1. Rescheduling: Permitted twice only with 72+ hours’ notice. Price difference applies.

2. No rescheduling: Within 72 hours. No-shows forfeit all fees.

3. No refunds: All fees non-refundable for any reason.

4. Cancellation by us: Full refund or priority rescheduling.

Renter’s Obligations

1. Arrival: Do not arrive more than 15 minutes before your rental period. Early arrivals disturb ongoing sessions, please wait outside the building.

2. Rental period includes setup, reception & breakdown. Late vacating incurs 1.5× hourly rate.

3. Prohibited: No food, open flames, illegal substances, or alcohol without consent.

4. Noise: Respect building neighbors. Respect neighbours. We do not guarantee a noise-free environment. External noise is beyond our control.

5. Communication: Lead facilitator = sole contact. No live support. We will not respond to participants or coordinators. Brief your group.

6. Security: Do not share the entry passcode. Sharing = HK$2,000 fee + deposit forfeiture + permanent ban.

7. CCTV: Monitored for security and damage prevention. Notice posted at entrance.

8. Unauthorised Equipment Use: Using any equipment without prior permission = double the standard rental fee for that item.

9. Cleanliness: Leave as found. HK$500 fee for excessive mess.

10. Damage: You are liable for all damage.

11. Restricted Areas: Office, storage cupboard/rack, and storage room are strictly off-limits. Unauthorised access = HK$2,000 admin fee per violation.

12. Policy Violations: Any violation may result in an immediate HK$2,000 administrative fee, separate from deposit forfeiture.

13. Compliance: Follow all reasonable directions and laws.

Liability & Indemnity

1. You assume responsibility for your group. You agree to indemnify The Extra Club against any claims, damages, or expenses arising from your use of the Space.

Force Majeure

1. If the Space is unavailable due to events beyond our control, we offer a full refund or rescheduling.

Confirmation of Agreement

1. Completion of payment constitutes acceptance of all terms and conditions.
